Kelly & Jack at Streamline Summit 2025

Streamline Summit 2025 Recap: Connection, Communication, & Some Canine Cameos

Finding Our People at Streamline Summit

Last week, our team, Jack & Kelly, had the privilege of attending the Streamline Summit: SOAR in Jacksonville, Florida. Thanks to one of our amazing clients who generously shared their ticket with us, we got to immerse ourselves in the latest tools, trends, and big-picture conversations shaping the vacation rental industry.

And while the sessions were packed with valuable insights, what stood out most was the people. The Summit wasn’t just about learning, it was about connecting. From casual hallway chats to new vendor relationships, the energy was all about collaboration and community.

It didn’t hurt that Oso and Sammie (our adorable dogs who joined the trip) quickly became the unofficial mascots of Crystal Springs Marketing. (Note to self: bandanas will 100% be part of next year’s swag order!)On the drive down, we even made a quick stop in Gulf Shores, one of the destinations we’ve had the honor of marketing over the years. Seeing it firsthand was a powerful reminder of why we do what we do: helping properties communicate better with their guests and create memorable stays.

Smarter Guest Communication: What We Learned

One of the sessions that lit us up was all about guest communication docs in Streamline—something we already help clients brand and design to look beautiful and professional across platforms.

Here’s what we found most exciting:

  • Guest Journey Mapping: Streamline outlined the 7 stages of the guest lifecycle: from dreaming about a trip all the way to post-stay review requests. Every stage is an opportunity for communication that feels thoughtful, not transactional.
  • Automation + Timing: From check-in instructions to mid-stay reminders to checkout messages, timing is everything. Anticipating needs turns routine emails into guest experience touchpoints.
  • New Document Management System: With legacy and new editors rolling out, property managers now have more flexibility to make guest docs functional and polished. We may have had to hold in a “wahoo!” when they announced this. Honestly, we love a polished email.

At Crystal Springs Marketing, we know these touchpoints are where email makes the difference. Whether it’s a branded welcome message, a well-timed upsell, or a review request that drives repeat bookings, we help ensure these communications do more than inform—they convert.

AI in Hospitality: Practical, Not Scary

Another standout topic at the Summit was AI. You know, that word that’s all anyone is talking about. The buzz wasn’t about replacing people; it was about making teams more effective.

Some highlights:

  • Search Is Shifting: Travelers are already turning to AI instead of Google or OTAs to plan their vacations. That means guest-facing content (emails, blogs, property listings) has to be sharper and more relevant than ever.
  • Smarter Upsells: AI can help anticipate the next need of your guest. Like suggesting car rentals after a flight is booked, or highlighting luggage storage when travelers land early.
  • Hospitality Evolution: The conversation is shifting from simply “renting a space” to “orchestrating a stay.” AI can help properties provide that elevated experience by automating logistics and freeing staff for true hospitality moments.

The takeaway? AI is an ally. Use it to personalize, anticipate, and streamline—but never forget the human touch.

Key Takeaways for Vacation Rental Email Marketing

If we had to boil down the Summit into lessons for our clients, it would be this:

  1. Automation + Personalization = Engagement
Use guest data and triggers to make every email feel like it was written just for them.
  2. Timing Is Everything
Anticipate guest needs before, during, and after the stay to build trust and loyalty.
  3. Think Guest Journey, Not One-Off Messages
Every stage, dreaming, booking, staying, reviewing, is a chance to connect.
  4. AI Is Your Ally
Let it handle the repetitive tasks so your team can focus on delighting guests.
  5. Confidence Sells
Own your expertise. The more clearly you communicate your value, the more guests will respond.

We left Jacksonville energized, inspired, and ready to put these lessons into practice. Between new vendor relationships, fresh insights, and plenty of canine-inspired conversations, Streamline Summit reminded us of what we love about this industry: it’s about people, passion, and the shared mission of creating unforgettable guest experiences.

We’re already looking forward to next year—dogs in branded bandanas and all.
